How do I invite new users and manage access in my organisation?

In this article, you will discover how to create a new user account and explore the various role permissions available within the organisation.

Only admins within the business plan can create new users and manage their access levels. By default, the organisation creator is an administrator and can grant rights to other users.

If you need to create new members but have limited access, please contact your admin.

"I am an admin and I can't create new members"

This is because you are currently on a trial plan. You can upgrade your plan using this link.

Step 1: Open organisation settings

Members can be created and managed from the Organisation settings page, which is accessible to administrators via the user menu.

 

 

Step 2a: Create new members individually

Open the members tab and click on "Create member" to enter the new user details.

Then enter manually the details for the new user.

  1. Full name: eg. James Morgan
  2. E-mail: must be unique for each user. 
  3. Language: default is English.
  4. Job title: eg. Junior software engineer.
  5. Organisation permissions: user (regular access), journey creator (can create and manage new learning journeys), administrator (can oversee memberships, billing and have full access to all settings).

Step 2b: Bulk upload of users

To create multiple members at once the "Bulk import users" option is preferred. You will see a modal asking you to upload a file.

 

The file needs to be in .CSV format. This format uses commas to separate different record values across different lines. Such documents can be managed by various software, including common spreadsheet applications like Microsoft Excel.

You can see an example of the lines below:

1. Full name (mandatory)

2. Email (mandatory)

3. Organisation access (optional, default is 'user', can also be 'admin' or 'course_creator')

4. Language (optional, default is english: 'en', 'fr', 'de', 'it', 'pt', 'es', 'nl', 'de')

5. Manager (optional, name of the manager)

 

Note that all details should be separated with commas. A value can be blank (a text space) but it should still respect the structure being separated by a comma. Eg. "Dan Cork, dancork@company, , ,"

Step 3: Wait for user confirmation

To continue managing the user, they need to confirm their account through the email invitation. You can also revoke the invitation by selecting "Delete" in the user line.
