How to manage journey access?

In this article, we analyse the different roles for managing and creating journeys.

Who has the rights to access a journey?

By default, a new journey can only be accessed by its author (journey creator) and system admins. Both will be able to invite other members to access it.

Note: All members can become journey creators. Please check "How do I invite new users into my organization?"

How to invite new members?

New members can be added through the "Members" tab inside a journey.

Administrators can also assign users to a journey through the "Members" panel in the organisation settings page.

What are the main roles within a journey?

There are 4 main roles that can be assigned to journey members:
  • Author: the creator of the journey automatically becomes the author. They can edit the journey and invite other members, assigning access levels.
  • Collaborator: can edit the journey and invite new members. This could be another user, such as a learning designer or a subject matter expert.
  • Learner: can participate in the journey activities and actions, as well as provide comments and feedback.
  • Mentor: can follow up on the learner's progress and review their actions. These individuals are typically their managers.
Admins can also access and edit all journeys, as well as manage journey access.

Note: only members within an organisation can become members of a journey. You can learn more on "How do I invite new users into my organization?".
